Managing time effectively is one of the most significant challenges in professional life. Balancing work, development, and other commitments while remaining clear on priorities and goals requires both intention and structure. The three strategies below offer a practical framework for making the most of the time available each day.
The Importance of Time in Relation to Achieving Goals
Time is finite. There are 24 hours in each day, and any goal must fit within that period — beginning with subtracting anywhere between seven and nine hours for sleep. When people set themselves goals, the first barrier they encounter is often finding the time to commit to achieving them. Managing time efficiently is fundamentally about creating the margin that supports success and makes progress towards an ideal future possible.
1. Look at the Systems in Your Life
Systems are everywhere. They are the key to running anything efficiently and making the best use of available time. All systems contain three key elements: an input, a process, and an output.
An input is anything that activates the system or gives it use. A process contains the steps and functions the system will perform. An output is the result that comes from those elements: input + process = output. To get the most out of any system, the input needs to be optimised first. The second focus should be to identify what the right process is in order to obtain the maximum output.
Unmanaged systems produce poor results. Making small, consistent changes to improve them is far more sustainable than attempting to overhaul everything at once. When a goal is not achieved, it is worth asking whether the right inputs and processes were in place and whether there was a clear handle on what the output should have been.
It takes time to create or improve a system, but the short-term effort is outweighed by the long-term efficiencies and peace of mind that come from using a trusted, reliable process. The most effective approach is to identify the systems that are most essential to achieving key goals and focus improvement efforts there first.
2. Have a Strategy to Get Through Each Day
A daily strategy acts like a mental map — a clear plan for navigating the day and avoiding the disruptions that pull focus away from what matters most. Pulling together the right systems creates that strategy.
One effective approach is to tackle the most important task (MIT) first thing each morning, alongside a second preparatory habit the evening before — such as setting out what is needed for the following day. By doing these two things consistently, the conditions for focused, productive work are established before the day even begins, and a calm, clear mindset is in place from the start.
3. Work With Other People
Working with others ultimately allows more to be achieved — both personally and professionally — than working in isolation. People are not the enemy of productivity. The key is to think about how the time spent with others can be made as effective as possible.
The foundation of this is being a good communicator and maintaining an ongoing, managed dialogue with those in the surrounding environment. When interruptions are frequent, it is often because boundaries around time have not been communicated clearly. Letting others know when uninterrupted working time is needed encourages them to manage their own time more effectively too, and reduces the friction that comes from unplanned disruptions.
Delegation is also a valuable tool. Identifying tasks that others can do more efficiently — or that represent poor value for the time they consume — and asking someone else to take them on frees up capacity for higher-priority work. The value of the time recovered will often far outweigh the cost of delegating.
Small, consistent improvements to daily habits and systems will build momentum in the short term and support the achievement of longer-term goals.
