How to organise information and free your mind

Most professionals consume far more information than they can reliably retrieve. Discover how Tiago Forte's Building a Second Brain methodology provides a simple system for capturing, organising, and using information effectively.

Most professionals consume and create significant volumes of information every day — through reading, listening, watching, writing, and drawing. Ideas are generated, problems are solved, and useful content is encountered constantly. But how much of that information is actually retrievable when it is needed again?

For most people, the answer is: not much. Valuable information ends up scattered across different apps, notebooks, inboxes, and browser tabs, meaning that a disproportionate amount of time is spent trying to locate it rather than using it. With a simple and consistent organisational system in place, those scattered resources could instead form a coherent, instantly accessible library of knowledge.

The Problem with How We Handle Information

The volume of information encountered in a typical working day is substantial. Emails, articles, podcasts, meeting notes, social media, and conversations all contain potentially useful content. Without a deliberate system for capturing and organising it, the default outcome is fragmentation — information sits in whichever place it happened to land, with no reliable way to find it again when it becomes relevant.

This fragmentation has a real cost. Time spent searching for information that should already be to hand is time not spent thinking, creating, or making progress on the things that matter.

Building a Second Brain

Productivity expert Tiago Forte has developed a methodology called Building a Second Brain, which provides a structured approach to capturing, organising, and using information effectively. The methodology is built around three core steps.

1. Capture — the first step is to grab information as it is encountered, in whatever format is most practical. This might include apps, drawings, bookmarks, clippings, podcast notes, photos, videos, or text. The key principle is that anything worth keeping should be captured rather than left to memory.

2. Organise — captured information should not simply be deposited in a single pile. Forte's PARA system provides a framework for categorising it into four types:

  • Projects — a set of tasks with a start and end date, linked to a specific goal. Generally short term.
  • Areas — the ongoing responsibilities and domains of life, such as professional development, finances, or health. These do not have an end date and continue throughout life.
  • Resources — topics or themes of ongoing interest, such as digital marketing, leadership, or a specific area of expertise. Information relevant to these interests is stored here for future reference.
  • Archives — inactive items from the projects, areas, and resources categories. Stored rather than deleted, so they remain available if needed later.

3. Utilise — capturing and organising information has no value unless it is actually used. Information becomes knowledge when it is applied in context — shared, acted upon, or connected to other ideas. This final step is what transforms a well-organised library into a genuine productivity asset.

Why This Matters for Knowledge Workers

Anyone whose professional role involves thinking, creating, or problem-solving is, by definition, a knowledge worker. This includes marketers, managers, designers, analysts, consultants, and many others. Knowledge workers are expected to process and act on large volumes of information, yet very few are ever taught a systematic way to do this.

Applying the Second Brain methodology enables knowledge workers to consolidate emails, articles, notes, and other resources into a single, structured body of work that is immediately available when needed. One of the less obvious benefits is the reduction in procrastination: when everything is organised and easy to retrieve, the friction that often delays action is significantly reduced.

The practical benefits include:

  • The ability to consistently finish projects and achieve goals, because the supporting information is always accessible
  • Reduced stress through the confidence that comes from knowing where everything is
  • A faster path from information to knowledge, because connections between ideas become easier to see and act on

A Clearer, More Connected Way of Working

With a well-functioning second brain in place, the experience of working with information changes significantly. Less time is spent searching. More time is spent thinking, creating, and applying what has been learned. Connections between ideas that would previously have been missed become visible — a concept encountered in one context suddenly becomes relevant to a challenge in another.

The result is a greater sense of clarity and control over the information that flows through a working life — and the mental space to engage more fully with the work itself.
